Workflow

Defined sequence of steps and actions that, manually or automated, produces a repeatable outcome.

A workflow is a fixed sequence of actions that achieves a defined goal. In marketing this ranges from a simple welcome email after signup to multi step campaigns with branches, waits, and conditions. Automated workflows relieve teams and ensure consistent customer experiences.

Structure of a workflow

Workflows have a trigger that starts the flow, such as a signup, purchase, or date. Actions follow, such as sending a message, updating a record, or assigning a tag. Branches react to events, for example whether a mail was opened. Delays pause the flow to fire the next step later.

Success factors

Clear objectives, well thought through triggers, and well written content are the foundation. Before going live a dry run with test data is worthwhile to avoid endless loops, duplicate sends, or empty personalisation variables. Pitfall: overly complex workflows become hard to maintain, prefer several focused journeys over one giant mega workflow.
