Zapier

Cloud service for automating workflows between web applications without coding skills.

Zapier is a cloud service that connects different web applications and automatically exchanges data between them. A so called zap consists of a trigger in one app and one or more actions in other apps. With more than six thousand integrated services Zapier is one of the most widely used iPaaS tools.

Structure of a zap

A trigger starts the flow, for example a new row in Google Sheets, an incoming Stripe payment, or a new lead in HubSpot. Actions follow, such as creating a record in a CRM, sending an email, or opening a ticket in a helpdesk. Filters, paths, and delays build more complex logic.

Practical notes

Zapier is particularly suited for small to mid sized volumes and well documented applications. For very high data volumes or critical processes specialised integration platforms or in house developments are worth considering. Pitfall: many zaps are built without error handling and fail silently, monitoring failed runs is mandatory. Privacy reviews also matter because data flows through the Zapier cloud.

Context in marketing work

Marketing teams use Zapier to transfer lead data from forms, ads, or webinars into CRM and email programmes. Reports, Slack notifications, and simple sales automations are also quick to set up. As demands grow a mix of Zapier for simple journeys and native API integrations for critical processes often proves the best path.
